What is the Scheduler?

The Scheduler is a planning assistant in Toggl 2.0 that helps you organise your weekly workload using plain-language prompts.

Instead of manually placing tasks on your calendar, you can describe what you want—and the Scheduler will create, move, or rearrange tasks for you.

:warning: Important: The Scheduler does not maintain conversation context. Every prompt must include all the necessary details.

What can the Scheduler do?

  • Create tasks and place them on your calendar
  • Schedule unscheduled tasks
  • Reschedule existing tasks
  • Move or reorganise tasks in bulk (e.g. shift everything to mornings)
  • Clear time blocks (e.g. remove tasks from Friday afternoon)
  • Use projects as part of any action

The Scheduler also respects your Toggl settings:

  • Working hours — tasks stay within your defined schedule
  • Time off — unavailable days are avoided

These only apply if you’ve already configured them.

:construction: Current limitations

The Scheduler currently works only with tasks in Toggl.

It does not yet support:

  • Calendar integrations (Google Calendar, Outlook, etc.)
  • Tracked time or past entries
  • Overlapping tasks (tasks are always scheduled sequentially)
  • Recurring tasks

How to write effective prompts

Each prompt is processed independently, so include all necessary context in a single message.

You don’t have to type everything manually—shortcuts can help you build prompts faster.


Use shortcuts to speed things up

While writing a prompt, you can use shortcuts to quickly insert tasks and projects:

  • Type / to search and insert a task
  • Type + to search and insert a project

This helps you:

  • Avoid typing full names
  • Reduce errors in task or project names
  • Build prompts faster

Tips for better results

  • Be specific with timing (day, time, or time of day)
  • Use project names when relevant
  • Use / and + shortcuts to quickly insert tasks and projects
  • Edit your previous prompt instead of sending follow-ups
