This guide walks you through your first steps in Toggl Work - from signing up to creating and managing expenses and trips.
1. Sign Up
Start by creating your Toggl account with your email and password. Once you confirm your email, you’ll be guided back into the Work onboarding flow.
2. Choose Your Setup
On the next window, you’ll be asked how you plan to use Work:
“Just Me” → Select this if you’re managing your own expenses. Approvals will be disabled by default, but you can always enable them later if needed.
“With My Team” → Select this if you’ll invite colleagues to join your workspace. In this case, approvals are enabled by default to support reporting and shared workflows.
Example: Freelancers might prefer “Just Me,” while small businesses or project teams often go with “With My Team” for collaboration and accountability.
3. Set Currency & Formatting
Next, you need to decide how your workspace should handle money and formatting, the first part is to select the Currency.
“Currency” → This sets your base currency (USD, EUR, GBP, etc.) for all future expenses.
Important: This can’t be changed later, so make sure you pick the correct one for your business.
“Formatting” → This option lets you choose the number and date formats that match your region (e.g., US vs. EU).
Example: If you’re based in France, you’ll likely want EUR with DD/MM/YYYY date formatting.
4. Landing in Work
After onboarding, you’ll arrive at the Expenses view. This is your home base for adding and managing expenses. From here you can:

Add your first expense with “New expense” button on the top right corner (e.g., a travel receipt or client lunch).

Group expenses into trips for easier reporting.

Submit expenses for approval (if you’re in team mode).
Tip: Even if you start alone, you can always invite teammates later and turn on approvals when you’re ready.
