Team Clients - How to Add and Manage Clients in Toggl Work (Admin View)

Want to send invoices in Toggl Work? You’ll need to have at least one client created first.

That’s where the Team Clients section comes in - a simple place to manage all the clients you work with.

Let’s walk through how it works.


:eyes: Where to Find Team Clients

You’ll find Team Clients in the same spot as the other Team sections - on the left-hand navigation bar, under your organization name.

Click Team Clients, and you’ll land on a page showing a table with:

  • All previously added clients and key info like:

    • Client name

    • Business address

    • Business Registry Code

    • VAT Number

If it’s your first time here, the list will be empty. Let’s fix that.


:plus: How to Create a New Client

To create a new client:

  1. Click the “New Team Client” button in the top-right corner (with a little :plus: icon)

  2. A pop-up will open asking for:

    • Legal Name

    • Business Address

    • Business Registry Code

    • VAT Number

  3. Fill in the details and click Save

Once saved, the new client will appear in your table - ready to be linked to future invoices.


:hammer_and_wrench: Editing or Deleting a Client

Need to update or remove a client? Super easy.

Next to each client row, on the far right, you’ll see a three-dot menu:

  • Click it to either:

    • Edit the client → this opens the same window as during creation

    • Delete the client → if you no longer need it

You can update all fields: name, address, registry code, or VAT number at any time.

:pencil: Pro tip: Make sure your client details are accurate - they’ll appear on every invoice you link them to.


:magnifying_glass_tilted_left: Searching Through Clients

As your list grows, the search bar at the top right of the table becomes super handy.

Type in the client’s name or any keyword to filter the list and find what you need instantly.


:receipt: What Happens After You Add Clients?

Once your clients are created, you can link them directly to your invoices - just head over to the Invoices section when creating a new invoice, and you’ll see all your Team Clients in the dropdown list.
