Team Members: How to Manage Your Team in Toggl Work (Admin View)s

If you’re an admin in Toggl Work, your setup looks a little different from what regular users see - and that’s because you’ve got more control over how your team works together.

Right under your organization’s name in the left sidebar, you’ll notice two main spaces:

  • Your “Personal” space (where you manage your own stuff)

  • And your “Team” space (where you manage, well… your team)

We’ve already covered everything in the personal area in previous articles. Now let’s explore the Team section, where you’ll find:

  • Approvals
  • Team Trips
  • Team Clients
  • Team Benefits
  • Team Members

Let’s start with Team Members, since that’s where most admins begin.


:eyes: What You’ll See in the Team Members Page

This is your control panel for everyone on your team. Once your workspace starts filling up, you’ll see a list of all members - both active and invited - right here.

You can:

  • See their names, email addresses, employee codes, and cost centers

  • Filter by name, email, employee code, or cost center

  • Use the dropdown above the table to sort by:

    • All users

    • Active users

    • Inactive users

    • Invited but not joined yet

Clean and simple, just like it should be.


:envelope: Inviting New Team Members

When you first set up your Toggl Work organization, you were probably asked to invite a few teammates during onboarding. But if you skipped that part (or if new people are joining later on), no worries - you can invite them anytime.

Here’s how:

  1. Head to the “Team Members” tab from the sidebar

  2. Click the green “Invite Members” button at the top right

That’ll open up the Toggl Suite admin console, click again “Invite Members” button at the top right and a window will open where you can send invites by entering your team members email adresses.

:white_check_mark: Tip: You don’t have to invite everyone all at once - feel free to add people gradually as your team grows.


:magnifying_glass_tilted_left: Viewing Someone’s Profile

Click on any person in the list and you’ll open their profile - kind of like a mini dashboard just for them. You will land in the “Personal” tab, where you’ll find:

1. Personal Info

Things like their full name, email, employee code, and cost center (if your company uses those).

2. Time Zone

This helps you see where they’re located and when they’re likely online - especially handy if your team is spread across time zones.

3. Access & Collaboration

This is where you manage their role:

  • Admin

  • Member

You can update it right from their profile by clicking “Change Role”.

:counterclockwise_arrows_button: Want to see the roles associated to your whole team? Go to the very bottom of the sidebar and click : “Tool Settings” > “User Roles”.


TL;DR - What You Can Do Here

From the “Team Members” tab, you can:

  • Invite new teammates

  • View and update team profiles

  • Manage roles and permissions

  • Sort and filter your team list

  • Get a full overview of who’s active (and who’s still pending)

This is your go-to place to keep your workspace organized and your team connected.
