Fixed Fee Projects

Set a fixed fee amount for projects and track your progress against it.

Users can add a fixed fee amount to a project. This allows you to track how you are progressing in projects where you bill a flat amount for the total project or per period, like when you have a project on retainer.

This feature is available on Premium and Enterprise plans.

Adding a Fixed Fee Rate to a Project

Fixed fee rates can be added to new or existing projects. The Create/Edit project popup has a “Fixed Fee” field where you can enter a $ amount for the project. If a project is set to be recurring, the same fixed fee will be setup every time.

Track Progress against Fixed Fee

There are a few places where you can track the project’s progress against the fixed fee you will charge.

If you open the Project Dashboard, you will see the total fixed fee amount used in the top right corner of the screen. You can also click on Billing Amounts in the first chart and see more information on the progress against this fee. A purple dotted line denotes the fixed fee.

How do we edit the fixed fee without compromising on historical data?
If I change a fixed fee from $1000 to $1200 how is the logic then?
Will it change from that point on or change all historical data?

Hi @AJWM I’m afraid that, currently, changing a fixed fee will affect historical data, and the workaround most users apply is creating a new project for that same client with the new fixed fee so you can keep the historical data in the original project with the original fee.

@Veljko is there a way to assign a fixed fee to tasks as well as projects? I can find the ability to set custom hourly rates for tasks, but not custom fixed fees? If it’s not on offer, could it? I do work where some of my tasks are fixed fees, but the overall project is billed hourly. Even when doing fixed fee tasks, I want to track time, as a way of measuring whether I’m under or over-charging for that work, but I don’t want to record it as hourly billable work as that results in an over-inflated bill.

@Elucubrator Hi there, thanks for posting! I’m afraid that fixed fees are only available at the project level. With that said, if you have a fixed fee set for a project and the project is billable, when you track hours by allocating those hours to tasks within the project, you will see that the tracked billable amount will progress towards the overall project fixed fee on the project dashboard view. You can also view the data in Analytics by creating a table chart and including the billable amount and the fixed fee as the columns in that chart for projects.

Noting this down as a feature request, I hope we meet your needs better in the future!

Thanks @Veljko for your suggestions, but my projects aren’t fixed-fee, but some of my tasks are, so that advice doesn’t assist me.

Does Toggl have a roadmap where users can’t comment on and vote for feature requests?

@Elucubrator I understand, thanks for the clarification. The community just started a few weeks ago. We’re working on a voting system. Right now, you can post in Product Feedback - Toggl Community, which is monitored. All feature requests get noted down on our end and reviewed by the product team.

Can mark a fixed fee project as “bill full amount”? Here is the background:
We have fixed fee projects that we will charge no matter how long it took to finish it. I want to track time for the project, but I want to have the full amount shown in the insights tab. Is this possible? :slightly_smiling_face:
