Trips in Toggl Work
Trips help you group related expenses together - for example, all costs from a business trip to Tallin, Estonia or a client visit abroad. Grouping makes reporting easier and keeps everything organised in one place.
Who Can Create Trips?
Admins can create both solo and team trips, while Members can create solo trips only.
Creating a Trip
To create a trip, go to the Trips view and click “New Trip”. From there, you ‘ll be able to enter the following trip details:
- Trip Name → e.g., ABC Tallin Client Visit.
- Destination → City or location.
- Start & End Dates → The duration of the trip.
- Purpose → Choose Solo (just you) or Team (for multiple travellers).
Once you’re done filling in the details, you can click “Create Trip”
Any expenses you add while inside the trip view are automatically linked to that trip.
Team Trips
If you create a Team Trip, you can invite travellers by clicking “Invite Travellers”.
You’ll see all organisation members and can invite them one by one.
They’ll receive an email invitation and as expenses are submitted, you (as admin) will be able to Review all trip expenses, as well as seeing the total spend, or approved vs. pending status, and submissions per traveller. You can also drill down into each traveller’s details (e.g., travel origin, destination, dates, expense history).
Managing Trips
In order to close a Trip, as an admin you can click “End Trip” (top right corner of the trip page) to close the trip of your choice.
You can also download a Report: In the “Trip” view, click “Download” at the end of a trip row to export a report of all approved expenses for that trip.
Example
Imagine you’re attending a 3-day conference in Paris with two teammates. You create a Team Trip called Paris Conference 2025. Over the week, you and your teammates submit expenses for:

Train tickets

Hotel rooms
-
Lunches and dinners
-
Taxi rides to the venue
All of these are grouped under the same Trip. At the end, you (as the admin) can export a single report showing the total cost of the trip, broken down by each traveller and category.
Trips keep everything tidy, so you always know the true cost of a journey - whether it’s just you or the whole team.
