Toggl Track
Topic content
I work alone (meaning I am the only one with this Toggl account) for a nonprofit organization on different projects and events. For example, I get paid a flat fee to attend and work the event, but the prep days leading up to the event are billed hourly. How do I separate those in the project?
EDIT: I want to track prep hours and event attendance fees, then import them into a Toggl invoice.

This is a common scenario and Toggl Track’s project and task structure can help you handle it.
The most practical approach is to use tasks within a single project. You can create one task for the event itself (flat fee) and separate tasks for each prep activity (hourly). Billable rates can be set at the task level, so your prep tasks would carry your hourly rate while the event task can reflect the flat fee arrangement.
However, it is worth knowing that Toggl Track’s invoicing is built around billable time entries and hourly rates, so a true fixed/flat fee line item on a Toggl invoice is not something the tool natively supports in Toggl Track. One workaround some people use is to log the flat fee event as a single time entry with a manually adjusted duration that, multiplied by your hourly rate, equals the flat fee amount. It is not elegant, but it gets the right dollar figure onto the invoice.
For the hourly prep work, just log time entries against the prep tasks with your standard hourly billable rate, and those will calculate correctly on the invoice.
So in summary:
- Create a project for the event
- Add tasks like “Event Attendance” and “Event Prep”
- Set billable rates at the task or workspace level as appropriate
- Use the time entry workaround for the flat fee portion when generating the invoice
It is not a perfect fit for mixed flat-fee and hourly billing in one project, but it is the closest Toggl Track currently gets without a dedicated fixed-fee field.
