Guest role in Toggl Focus

The Guest role is designed for external collaboration. Whether you are working with freelancers, consultants, or clients, Guests allow you to bring outside partners into your workflow without compromising the security of your workspace reports or data management.

Setting Up a Guest

Before a Guest can contribute to a project, they must first be added to your Workspace.

1. Adding a Guest to the Workspace

Only Organization Admins can add Guests. This can be done via the Members Area underneath the Admin tab in the sidebar.

When inviting the user, select Guest from the role dropdown menu. Guests do not count toward your paid seat limit.

2. Adding a Guest to a Project

Once a Guest has been added to the Workspace, they won’t see any data until you explicitly invite them to a project.

  1. Open the specific Project you want them to join.
  2. Click the Share button (top right corner).
  3. Search for the Guest’s name and click Invite.

Guest Capabilities and Restrictions

Here is a breakdown of what Guests can and cannot do within Focus.

What Guests CAN Do

  • Project Work: View and edit all projects they have been added to.
  • Task Management: Add new tasks to their projects and edit any tasks assigned to them.
  • Custom Views: Save their own Board and Timeline views.
  • Availability: Set their own working hours, public holidays, and time off.
  • Visibility: View other members, clients, and tags only within the projects they are a part of.

What Guests CANNOT Do

  • Reporting: Guests have no access to the Reports tab or any financial dashboards.
  • Data Management: They cannot access workspace-level data export or management tools.
  • AI & Automation: Guests cannot interact with the AI scheduler bot.
  • External Connections: They cannot connect external calendars (e.g., Google or Outlook).
  • Restricted Settings: They are blocked from seeing settings related to Access, Statuses, Tags, and Calendars.
