What the Free plan includes, and when it's worth upgrading

For freelancers, solo users and small teams on Toggl’s Free plan: what you get, the limits you’ll run into, and when an upgrade is worth it.

Short answer

Free covers everyday tracking and personal planning for up to 3 members: the Timer, projects, tasks, tags, goals, and the Summary and Time logs reports with PDF export. Team features are on paid plans: planning your teammates’ work, billable rates, private projects, CSV and XLSX export, approvals and the deeper reports. If you started on a trial, you aren’t charged when it ends. Your organization moves to Free unless you choose to upgrade, and your data is kept.

What Free includes

  • The Timer, Manual mode and the Calendar and Timesheet views on the Timer page.
  • Projects, clients and tasks, including dates, estimates, priorities and statuses on tasks.
  • Tags on time logs and tasks.
  • Personal planning: your own tasks and estimates on the Timeline, and your own capacity.
  • Goals: up to 4 active time targets on the Timer page.
  • The Summary and Time logs reports, with PDF export.

The limits that matter

  • Members. Free has a cap of 3 members. When you try to invite a 4th, Toggl tells you you’d go over the Free limit and asks you to upgrade.
  • Report views. Free organizations created from 29 June 2026 have a report views limit. A Views counter shows on Reports and the Timeline, and each report refresh or Timeline load counts as one view. The counter resets one month after your first counted view, not on the 1st of the month. The reset date shows on the counter.
  • Teammates’ work. On the Timeline, teammates’ rows are View only: you can change tasks on your own row and the No assignee row. In reports, you can’t filter or group by member on Free.
  • Private projects. On Free, new projects are visible to everyone in the workspace, and the private option is greyed out. Private projects and tasks need Starter or above.
  • Paid-only features. Billable rates, CSV and XLSX export, timesheet approvals, tags on projects, team capacity on the Timeline, and the Workload, Utilization and Profitability reports aren’t part of Free.

What happens when a trial ends

When your trial ends, the app shows Your trial has ended with two choices: Upgrade or Stay on Free. If you stay, your past data is kept. A few paid extras become read-only or hidden:

  • Private projects stay visible but become read-only. You can make them public or delete them.
  • Billable rates and amounts are hidden in reports and settings, but not deleted.
  • Recurring projects keep their past periods but stop creating new ones.

Set it up: decide when to upgrade

  1. Inviting a 4th person? You need Starter.
  2. Need raw data in a spreadsheet? CSV and XLSX export need Starter. PDF works on every plan.
  3. Billing clients by the hour? Billable rates start on Starter. Toggl has no built-in invoicing, so you export billable amounts from Reports or pull them through the Public API.
  4. Want some projects visible only to certain team members? Private projects start on Starter.
  5. Planning a team’s week? Starter shows every member’s capacity for this week and this month on the Timeline. To see further ahead or group capacity by team, add the Capacity Management Add-on to a paid plan.
  6. Approving timesheets, or reporting on workload, utilization or profitability? You need Premium.

Example

A freelance translator tracks on Free for six months: one project per client, tags for “translation” and “review”, and a monthly Summary report sent as a PDF. Later two other translators join, so the team is at the 3-member cap, and Free still covers them. The upgrade to Starter comes when a client asks for a CSV of hours and the translators want billable rates per client.

Common mistakes

  • Treating the views counter as a calendar-month limit. It resets one month after your first counted view. Check the date on the counter.
  • Looking for a member filter in reports on Free. Filtering and grouping by member need Starter.
  • Looking for CSV export on Free. Use PDF, or upgrade to Starter.
  • Expecting the trial to charge you. It moves you to Free unless you upgrade.
  • Adding tags to projects on Free. Put the tags on tasks or time logs instead.

I am on the Free Toggl Track plan. I have me and one other person tracking time to individual projects. How do I see a report that shows each project and the time each of us individually spent on that project? Is that possible with the free plan?

Hi @foxtale00, thanks for asking! Yes, you can get this on the Toggl Track Free plan. This post is about the Free plan in Toggl, our newer app, but here’s how it works in Track:

  1. Go to Reports → Summary.
  2. In the table under the charts, set Breakdown by to Projects and the second picker (and:) to Members. This is usually the default already.
  3. Click > next to a project to see how much time each of you spent on it.

To see only one person’s time, click Add Filter, choose Member and pick their name. For a line-by-line view, the Detailed report also has a Member column.

Two things to know on Free:

  • The table gives you the numbers per project and per person, but the bar chart can’t split by member. Stacked bars need a paid plan.
  • You can export the report as a PDF. CSV and Excel exports need a paid plan.

There’s more detail in our help articles on the Summary report and report filters.
